Mobile Notary Pricing
Notarial Fee
$10 per notarial act
Notarial fees are separate from applicable mobile travel and service fees.

If more than one condition applies to the same appointment, the maximum scheduling surcharge is $15.

I-9 Authorized Representative Service
I-9 Verification — $35 per employee
Includes:
• In-person examination of the employee's original acceptable documents
• Completion of the authorized representative portion of Form I-9 according to the employer's instructions
• Following employer-provided verification procedures
• Return or confirmation of completed documentation as instructed by the employer
Mobile travel fee applies separately:

Additional employees at the same location and appointment — $20 each
Same-day, evening, and weekend appointments are subject to the applicable $15 scheduling fee.
Form I-9 verification is not a notarial act. Ultima Notary LLC performs this service as an authorized representative designated by the employer.
Property & Field Inspection Services
Basic Field Inspection — Starting at $50
May include: exterior property observation, occupancy or vacancy verification, address verification, requested photographs, basic condition observations, and submission of client-requested information.
Expanded Field Inspection — Starting at $75
For assignments requiring additional photographs, multiple observations, more extensive documentation, additional time on site, or detailed client instructions.
Business Verification Visit — Starting at $50
May include: verification of business location, exterior/interior photographs when authorized, signage verification, business operating-status observations, and client-requested information gathering.
Custom Field Assignment — Quote Required
Pricing may vary based on assignment requirements, travel distance, number of photographs, time required on site, reporting requirements, additional locations, and rush or special scheduling needs. Travel requirements and any additional fees will be disclosed before accepting the assignment.
Important:
Ultima Notary LLC provides non-technical field observation and verification services only. We do not perform licensed home inspections, building-code inspections, engineering inspections, appraisals, environmental assessments, or other inspections requiring professional or occupational licensure.
Before Your Appointment
Identification
Documents
Each signer must have acceptable identification to verify their identity. Common forms include a current Florida driver's license or identification card, a U.S. passport, or other government-issued identification permitted under Florida law. If you are unsure whether your identification will be acceptable, please contact us before your appointment.
Please have your complete document available at the appointment. Florida law prohibits a notary from notarizing a signature on a blank or incomplete document. Ultima Notary LLC cannot complete, alter, select, or provide legal advice regarding your documents.
Signatures
Witnesses
Please do not sign in advance when the required notarial act requires your signature to be made in the notary's presence. Each person whose signature is being notarized must personally appear before the notary for the notarization.
If your document requires witnesses, please determine the witness requirements before your appointment and make the necessary arrangements. Let us know when requesting your appointment if witnesses will be required.
Hospital & Care Facility Appointments
For appointments in hospitals, nursing homes, or assisted living facilities, please confirm in advance that the facility allows outside visitors and mobile notary services. It is the client’s responsibility to ensure the signer is alert, aware, and capable of understanding the document they are signing. The Notary reserves the right to decline service if the signer’s capacity or willingness is in question.
Appointment Policies
Loan Signing Appointments
Ultima Notary LLC is a qualified loan signing agent, providing professional support for many types of real estate loan signings. Loan signing fees vary depending on the assignment, document package, travel distance, printing requirements, scan-back requirements, and other assignment specifications. Please contact us for loan signing availability and rates.
Ultima Notary LLC follows the instructions provided by the contracting company and does not provide legal, financial, or lending advice or interpret loan terms. Questions concerning loan terms should be directed to the appropriate lender, title company, settlement professional, or other authorized party.
Cancellations
Appointments canceled at least 4 hours before the scheduled appointment time will not incur a cancellation fee. Cancellations made with less than 4 hours' notice are subject to a $25 late-cancellation fee.
No-Shows
If the notary arrives at the confirmed appointment location and the client or signer is unavailable, the applicable mobile travel fee will be due.
If the Notarization Cannot Be Completed
If a notarization cannot be completed due to unacceptable or insufficient identification, an issue with the documents, missing required information or witnesses, or another circumstance outside the notary's control, only the applicable mobile travel fee will be due for that appointment. No fee will be charged for a notarial act that was not performed.
Parking & Tolls
Parking fees or tolls incurred specifically for your appointment may be added to the appointment total. When reasonably possible, these expenses will be discussed before your appointment.
Document Courier Service Policy
Ultima Notary LLC provides local document pickup and delivery services throughout Hillsborough County for legal, business, real estate, and other approved documents. We do not transport cash, weapons, illegal or controlled substances, hazardous materials, prescription medications, high-value personal property, or unidentified packages. Clients must provide accurate pickup and delivery details, contact information, and any access instructions. Documents are handled with care and released only according to the client’s instructions. Courier and notary services are separate; courier service does not guarantee that a document can be notarized. Ultima Notary LLC reserves the right to decline any courier request that presents a safety, legal, security, or transportation concern.
For real estate loan document signings, the notary fee is usually structured as a flat-rate service fee determined by the complexity of the loan package (Refinance, Purchase, HELOC, etc.) and the requirements of the lender or title company. Please contact us for a specific quote for loan signing services.
